Position: VIP Coordinator

Status: Full Time Exempt

Schedule: Days, Monday – Friday (Flexibility to work occasional evenings, weekends, and special events)

Location: Bardstown, KY (Travel 10-20%)

Reports To: VIP Experience and Education Manager

Job Summary

 


The VIP Coordinator at Lofted Spirits is responsible for ensuring a world-class VIP guest experience across all touchpoints of the distillery’s hospitality operations. This dynamic role blends customer service, event coordination, hospitality support, and a passion for working with the public. The role is meant to contribute to the welcoming atmosphere and smooth functioning of our very busy VIP experiences. This position reports to the VIP Experience and Education Manager.

 

Essential Job Duties and Responsibilities

  • Coordinate all VIP visits to our locations, including the VIPs’ itineraries, tour times, tastings, and restaurant reservations.
  • Coordinate and host media visits for Lofted Spirits, such as photo and video shoots.
  • Coordinate VIP gift bags and lanyards.
  • Maintain the department’s calendar with details of all VIPs visiting our locations, including Single Barrel selections.
  • Host VIP experiences for our guests, providing friendly and knowledgeable service which reflects Lofted Spirits’ brand values.
  • Host onsite Single Barrel selections for customers, including setting up and breaking down the tasting room.
  • Support all aspects of the VIP & Single Barrel programs across our four locations.
  • Support the setup and breakdown of VIP events, including décor and beverage service.
  • Support, supervise, and act as a benchmark for our VIP Ambassadors and Visitor Experience Representatives.
  • Follow up with VIPs before and after their visit, gathering feedback, and building long-term customer relationships.
  • Respond promptly to guest inquiries and feedback.
  • Understand the SOPs for both our Visitor Center and Restaurant & Bar.
  • Additional responsibilities as assigned.

 


Desired Qualifications and Skills

Education & Experience

  • Minimum 2 years of experience in hospitality, events, or customer service.
  • Bachelor’s degree or equivalent experience in hospitality, tourism, event management, or related field preferred.
  • Ability to speak and write English fluently.
  • Excellent communication and interpersonal skills
  • Ability to multi-task
  • Basic computer skills

Skills & Competencies

  • Previous experience in spirits, wine, or beverage industry preferred.
  • Previous distillery or visitor center experience a plus.
  • Strong organizational skills and attention to detail.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Ability to multitask and thrive in a fast-paced, guest-focused environment.
  • Excellent hospitality and customer service skills.
  • Proficient with Microsoft Office suite.
  • Flexibility to work occasional evenings, weekends, or travel for events.

 


Physical Requirements

 

 
  • While performing the duties of this job, the employee is regularly required to talk and hear; sit, stand, walk, bend, kneel, stoop, crouch, crawl, and climb all day; lift and/or move items over 50 pounds; use hands and fingers to handle or feel objects, tools, or controls.
  • The employee must be able to physically navigate around a plant/production environment, including the repetitive climbing of stairs and elevated walkways.
  • Frequent expose to fluctuating indoor and outdoor temperatures.
  • Limited overnight travel may be required and travel by car, air, train, or other means of public transportation may be needed.
  • The employee must have the ability to hear and understand verbal communication in person and over communication devices (phone, radio); ability to detect and respond to alarms, warning signals, and emergency notifications; ability to distinguish differences in tone, volume, and pitch for accurate communication.
  • The employee must have the ability to read printed materials, digital screens, and fine print; ability to detect visual signals such as warning lights, hand gestures, or safety signs; ability to accurately perceive depth, color, and movement as required for the role; ability to operate tools, machinery, or vehicles requiring visual coordination.
  • Must be comfortable interacting with distillery customers as well as tour groups and guests in a hospitality focused environment.
  • Must be a team player.
  • The employee must have sufficient taste and smell abilities to accurately evaluate alcohol distillate when required.
