Job Summary
This position, under the primary supervision of the Operations Manager is responsible for assisting the Companys sales team and customers by processing orders and providing assistance with other sales, marketing and customer service-related duties.
Primary Job Responsibilities
- Receives orders from the sales team and customers; ensures accurate data entry and deliveries in accordance with the specific instruction.
- Informs customers of unit prices, product availability, shipping dates, anticipated delays and any additional information needed by customers.
- Coordinates with the team to resolve backorders in an expeditious manner.
- Research what customers are looking for and identifies them in the Companys product catalog.
- Prepares and sends quotations for customers purchase authorizations.
- Handles customer inquiries by phone, fax, and email, investigating and resolving customer problems.
- Responsible for processing customer product return requests.
- Prepares and sends invoices and shipping documents.
- Assists with inventory control records.
- Ensures Companys database is accurate with current customer data and other sales related data.
- Ensures communication among management, sales, freight forwarders and warehouse teams are efficient and smooth in regards to customer information, product information, delivery schedule, order adjustments, etc; completes forms as necessary.
- Assists collection activities regarding delinquent accounts by coordinating with the accounts receivable team and Sales.
- Builds a positive and professional relationship with customers.
- Assists the sales team with other sales and marketing duties.
- Implements and ensures compliance for all applicable J-Sox company regulations required for Risk Reduction and acceptable international accounting practices.
- Maintains good communication with supervisors, other colleagues and outside contacts.
- Assists with physical inventory activities
- Other duties as assigned.
Work Environment & Physical Requirements
- This job is performed in a climate-controlled office environment.
- The noise level in the work environment ranges from quiet (in the office) to moderate.
- Due to schedule and production requirements, non-standard work schedules such as weekends and/or holidays may be required.
- Must occasionally lift and/or move up to 15 pounds.
- Requires typing and frequent use of a computer screen.
- Must remain stationary for long periods of time.
Job Qualifications
The following are qualifications that define the ideal candidate for this position:
- Knowledge, skills and abilities normally achieved through obtaining a High School Diploma or GED.
- Minimum 2 years of experience in a similar CSR position is strongly desired but not required.
- Business level Spanish/English language skills verbal and written highly proficient.
- Automotive parts manufacturing experience is a plus.
- Must understand and possess the ability to maintain positive relationships between CS and Sales.
- Must be customer service orientated.
- High level of proficiency in Microsoft Suite software (Word, PowerPoint, Excel, etc.) EXCEL at proficient level is required.
- Must be detail-oriented with excellent time management capabilities.
- Ability to work with minimal supervision.
- Must be able to relate to and build the team including training and problem solving.
